Send a welcome email to parents and introduce yourself
Ensure all players and team staff have registered in RAMP. Review with the Board Registrar once you are assigned a team and ensure all information is received to get your Roster form (official player list with OWHA team number).
Ensure Respect in Sport Leader/Parent is completed for each volunteer/parent. Review this requirement with the Board Risk and Safety Officer
Ensure Criminal Declaration and/or Police Check is completed for each volunteer. Review this requirement with the Board Risk and Safety Officer
Ensure Player Medical Sheet is completed for each player and Trainers have a copy. Keep paper copies since the forms must remain available quickly in an injury event
Ensure Team Staff/Positions are updated for roster. Send a full list of team staff to the Board
Prepare a team budget and share with your team. Review with your Head Coach the goals and number of tournaments, events, and gifts to prepare a budget and request for team fees. Team fees are normally between $150-$200 (house league) and more if competitive division. The more the team can raise sponsors and make fundraising, the less each parent will have to invest in team fees. I strongly recommend asking for $150 min. early in the season to ensure good cash flow to start reserving tournaments
Receive a letter from the CRGHA (if needed) and open a team bank account. Bank account and cheque book will become the responsibility of 2 parents. These community account cost less than $8/month and are strongly recommended to ensure the funds are managed efficiently
Pay $100 RAMP team fee by September 30th for each team. Fees are to be paid to treasurer@crgha.ca
Book tournaments/hotels. The best recommendation is to decide with your coaching staff on 2 home and 2 away tournaments. Register quickly as the tournaments fill up fast. You do not need to pay until your place is accepted in the tournament so this will leave you time to review all tournament possibilities and hotels. If you plan to play in Quebec or USA, a travel permit is required, and additional insurance may have to be purchased. Review with the President of the Board. Otherwise, Ontario offers many great tournaments option. Review OWHA website under the tournament tab
Organize team events and/or gifts for players. Great ideas are to start with a parent meeting/BBQ event, plan a Christmas special activity and end of year party. These 3 events will be greatly appreciated by your team. More events can be planned like fundraising events, dryland practices, etc. Gifts are also important and sponsors value getting their business advertise so do not hesitate to buy water bottles, coats, shirts, practice jerseys, bags, towels etc with the sponsors logos
Ensure all team events are recorded in RAMP
Ensure parents contact you before going to the Executive Board members directly to lessen the number of communications to Board members
Record head coachs certificate number and trainer certificate numbers - needed for game sheets
Get referee rates and ensure you have cash to pay them at home games (if applicable). Ask the ice scheduler for referee booking assistance and related cost
Get a list of volunteers to do timekeeping for home games (ensure they have read the game rules ahead of time)
identify parent volunteer to report game scores and provide team event updates/photos for social media content and provide contact info to vpbusiness@crgha.ca
